Privacy notice
The short version. This app runs on a single server run by your club. Nothing in it is sent to any other company — no analytics, no advertising, no cloud AI service. Match recordings are transcribed on that same machine and the audio is deleted automatically after 14 days. You can download everything it holds about you, and delete your account, from your Account page at any time.
Who is responsible
your club decides what is recorded here and is responsible for looking after it. Questions, corrections and requests go to your team's coach, who can pass them on.
What is held
About coaches and parents who have an account: a username, a password (stored only as a one-way hash — it cannot be read back), and optionally an email address, full name, telephone number and club name. The email address is used for nothing but resetting a forgotten password.
About players: name, squad number, date of birth, preferred positions, a chosen cartoon avatar, and a parent or guardian's name, email and phone number. Coaches also record football notes: ability ratings across skills like passing and positioning, assessments over time, minutes played, goals, availability for each fixture, training attendance, homework set, and any subscription or fee owed.
Match recordings, if the coach uses that feature: an audio recording of a game, which will include children's voices, and the text transcript made from it. These are used to build the match timeline and the coaching observations.
Technical: a login cookie so you stay signed in, and a server log of errors and the address requests come from. There are no tracking or advertising cookies of any kind.
Why it is held
To run a youth football team: picking squads, sharing minutes out fairly, telling parents when and where games are, tracking how players are developing, and keeping track of subs and pitch costs. Player records are kept because a team cannot be run without them. Photos and match recordings are optional extras, used only where a parent is happy for them to be — say so to your coach and they will not be used for your child.
Who can see what
- Your team's coaches see the full squad record for their own team, and nothing from any other team.
- A club administrator sees the teams in their own club.
- A parent sees only their own children — never another family's details, ratings or notes.
- Anyone with a share link sees only what that link is for: one child's fixtures, or a live match view. Share links can be reset by the coach at any time, which immediately stops the old one working.
Nothing is sold, shared with advertisers, or sent to a third-party service. The transcription and analysis of match audio runs on the same server as the app — recordings are not uploaded to any AI provider.
How long it is kept
- Match audio is deleted automatically 14 days after it is uploaded. The written observations made from it remain.
- Player and match records are kept while the team is using the app, so that a player's history is there season to season.
- Accounts are kept until deleted. Deleting an account removes it immediately and permanently.
Your rights
You can, without asking anyone:
- Get a copy — the Account page has a Download button that gives you a complete file of everything held about you and your children.
- Correct it — parents can edit their child's details from the family area; coaches can edit anything about their squad.
- Delete your account — also on the Account page. For a parent this removes the login and the link to your children; the coach keeps the squad list, so ask them if you want your child's record removed from the team as well.
If you are unhappy with how your data has been handled and raising it with your club has not resolved it, you can complain to the Information Commissioner's Office at ico.org.uk.
Keeping it safe
Traffic to the app is encrypted. Passwords are hashed, never stored in a form that can be read. Every page requires a login except the share links, which use a long random address that cannot practically be guessed. Access is limited by role, so a parent account cannot reach coaching pages and a coach cannot reach another team's data.
Changes
If what the app records changes, this page is updated to match. The date at the top tells you when it last changed.
